Every employee’s extension (a short internal phone number assigned to one person — see Glossary) comes with its own private voicemail box, protected by a personal PIN, so messages left for one person stay private to them.

Can employees record their own greeting?
Yes — each person can record and update their own greeting any time, from their desk phone or the mobile app, without needing an administrator involved.
What happens to a message after you leave it?
We store the message securely against that extension. If you enable it, we also deliver it straight to the employee’s email inbox as an audio attachment — see Voicemail-to-Email for how that works. That way, nothing gets missed just because someone didn’t check their desk phone.
Is personal voicemail different from a shared team voicemail box?
Yes. Individual voicemail belongs to one person’s extension; a shared box collects messages for an entire department or team and is visible to everyone on that team. See Department & Shared Voicemail Boxes if you need messages to reach a group rather than one person.
Can an employee access their voicemail remotely?
Yes — voicemail is accessible from anywhere through the mobile app, the web portal, or by dialing in from any phone, so a message left while someone is out of office doesn’t have to wait until they’re back at their desk.
How do we protect voicemail from unauthorized access?
We PIN-protect each box, and administrators can enforce a minimum PIN strength across the whole company, so a weak or default PIN never becomes a security gap.
