Executive-Assistant (Boss/Admin) Call Handling

A dedicated boss/admin relationship links an executive’s extension (their internal phone number — see Glossary) to their assistant’s phone, giving the assistant visibility into incoming calls and the ability to screen, answer, or transfer them on the executive’s behalf.

01

What does the assistant actually see and control?

The assistant can see when the executive’s line is ringing, in use, or free, answer calls directly on the executive’s behalf, and decide in real time whether to put a caller through, take a message, or redirect them elsewhere — all without the executive having to touch their own phone.

02

Can the executive still answer their own calls directly?

Yes — this relationship doesn’t take away the executive’s own line; it simply gives the assistant a parallel window into it, so either person can handle an incoming call depending on availability and priority.

03

Does this work if the assistant supports more than one executive?

Yes — one assistant can be linked to several executives’ lines at once, each shown distinctly, so a single admin can competently screen calls for a small leadership team rather than needing one assistant per executive.

04

How does this interact with call transfers?

When a call needs to reach the executive after being screened, the assistant can use a warm (attended) transfer to brief the executive before connecting the caller, rather than blindly passing the call through.

05

Can the executive tell it’s their assistant calling versus an outside line?

Yes — combined with Distinctive Ringtones & Caller-ID Matching, an executive’s phone can ring differently for internal versus external calls, making it obvious at a glance who needs their attention.

Let’s walk through what executive-assistant (boss/admin) call handling would look like day-to-day.
