Meeting rooms — from a small huddle room to a full boardroom — can use dedicated conferencing hardware: a room speaker/microphone, camera, and display. It joins the exact same phone calls and video meetings as anyone dialing in from a laptop or desk phone. There’s no separate booking system or incompatible technology.

Do all our meeting rooms need the same setup?

No — a small huddle room and a large boardroom have different needs. A small room typically needs a simple speaker and camera setup near the table; a larger boardroom benefits from a dedicated microphone that reaches every seat and a display sized for the room. The right hardware scales with the room, not a one-size-fits-all box.

Can people dial into a room-based meeting the same way they’d join from their desk?

Yes. A meeting happening in a conference room uses the same video conferencing system as everyone else. A remote employee or an outside guest joins the same meeting link, whether the people in the room are gathered around a table or sitting at their desks.

Is this only for video meetings, or does it work for voice calls too?

Both — a properly equipped room can handle a simple audio conference call just as easily as a full video meeting, so it’s useful for everything from a quick client call on speakerphone to a scheduled all-hands video meeting.

Do we need a separate account or license for each room?

We set up rooms as their own resource in the system, similar to how an employee has an extension. That way, you can book a room and join it into meetings without it needing to belong to a specific person.

What if our office also has door entry or paging needs near the meeting rooms?

Rooms sit alongside the rest of your phone system’s building-wide features — see Paging & Intercom if you also need announcement or door-entry capability in the same spaces.
