Department & Shared Voicemail Boxes

A shared voicemail box can sit behind a ring group (a set of extensions that all ring together for one number — see Glossary) or a general department line. That way, any message left there is visible to the whole team, instead of being trapped on one person’s phone.

Why would a business want a shared box instead of individual ones?

It removes single points of failure. If Sales, Billing, or Support has one shared box, whoever’s available picks up a customer’s message and acts on it first. It never sits stuck waiting for one specific employee to be back at their desk.

Who can access a shared voicemail box?

You control that. You can grant access to an entire department, a specific subset of staff, or just a supervisor who triages and reassigns messages — whatever matches how your team actually works.

Can you mark messages as handled so two people don’t duplicate work?

Yes. Team members can mark a message as heard or handled. That gives the whole group visibility into what’s already been actioned, instead of everyone independently re-listening to the same voicemail.

Does a shared box still send email notifications?

Yes. You can route shared-box notifications to a distribution list or a shared inbox, the same way individual voicemail can forward to a personal email (see Voicemail-to-Email). That way, the whole team gets alerted the moment a message comes in.

What if the whole team is unreachable?

You can chain a shared box to a backup extension or an on-call number so nothing goes unheard during off-hours or a busy period — see Forwarding to a Backup Extension.
